Carry On As Normal
Why Do Families Switch Nanny Payroll Provider?
Most families don’t think about changing provider until something goes wrong, or the renewal invoice arrives. Switching is a perfectly normal thing to do.
The usual reasons are cost, slow replies and wanting more than payroll. Some families find they are paying extra for things like contracts, advice or pension support that we include in a single annual fee.
Others have been left chasing their provider for payslips or HMRC answers, or have outgrown a service built for a single nanny after adding a second nanny, a nanny share or a temp. Payroll isn’t something you’re locked into: you can move provider at any point in the tax year, and the figures simply carry across.
If you’re not sure switching makes sense, talk to us first and we’ll tell you honestly what the changeover involves.
Check Your Pay Is Still Agreed As Gross
Register NowSwitching is a good moment to check how your nanny’s pay is agreed. If your current arrangement is a net figure, tell us when you get in touch.
A gross rate is the amount before tax and National Insurance are deducted. With a net agreement, the employer picks up whatever tax and National Insurance arise on top, and that can change whenever a tax code changes. We’ll show you what your current arrangement really costs and what the equivalent gross rate looks like, using our free nanny gross to net calculator.
For the full picture, read why you should agree a gross pay rate instead of net.
What Carries Over When You Switch
Register NowYour nanny’s tax code, National Insurance number, pay history for the year so far and pension arrangements all move with you. Nothing starts again from zero, and your nanny shouldn’t notice a change other than a payslip from a different provider.
What matters is getting the year-to-date figures right at the changeover point, so tax and National Insurance carry on correctly for the rest of the tax year. We check these against your nanny’s latest payslip before we run your first payroll with us.
What We Handle After You Switch
Once the changeover is done, the day to day is the same as for any other Nanny Matters family. Here’s what’s covered.
Dealing With HMRC
We’ll tell you exactly what HMRC needs to see so we can look after your payroll, and take you through it step by step. After that, HMRC queries about your nanny’s pay come to us.
Payslips And Monthly Payroll
Each pay period we calculate the correct income tax and National Insurance, report it to HMRC, issue a payslip for your nanny and tell you exactly what to pay and when.
Pension Auto-Enrolment
If your nanny is eligible for auto-enrolment, we’ll make sure it’s handled properly. Our fully managed NEST pension service is available if you’d like us to run it for you.
Unlimited Employment Advice
Holiday pay, sick pay, pregnancy, changes to hours: ask our team at any time. Unlimited employment advice is included in your annual fee.
Choosing A Nanny Payroll Provider
Price matters, but so does what’s included. When you compare providers, check whether contracts, advice, pension support and extra staff such as a second nanny or a temp are covered in the fee or charged separately, and what notice you’d need to give if you ever wanted to leave.
Our annual subscription starts from £260 and covers monthly payroll for the year, with no hidden charges for the things that trip families up elsewhere, like a second nanny, a temp covering leave or backdated payroll problems.
Not sure what to look for? Our guide to choosing a nanny payroll service explains it in plain English.

Employer References
Your Employer PAYE reference and Accounts Office reference. Both appear on your HMRC letters and on the payroll reports from your current provider.
Latest Payslip And Year-To-Date Figures
Your nanny’s most recent payslip, plus gross pay, tax and National Insurance paid so far this tax year, so we can carry on from exactly the right point.
Tax Code And NI Number
The tax code currently in use and your nanny’s National Insurance number. Both should be on their latest payslip.
Pension Details
Which pension provider your nanny is enrolled with and the contribution rates currently being paid, so everything stays consistent after the move.
